A Surprising 40th Birthday Bash: Billie Jean’s Colorful Celebration in Wimberley, Texas

Turning 40 is a significant milestone, and what better way to celebrate than with a surprise party planned down to the last detail by your loving spouse? Billie Jean’s 40th birthday in Wimberley, Texas, was a vibrant and unforgettable affair, and I had the privilege of being part of the planning and execution of this surprise. With a colorful design, exquisite food from Perini Ranch, and a series of unexpected challenges, the event was a testament to the power of meticulous planning and the joy of celebrating life’s special moments.

The Vision: A Surprise Celebration Full of Color and Joy

Billie Jean’s husband wanted to throw a party that would reflect her vibrant personality and be a joyous celebration of her 40 years. His vision was a celebratory event set against the beautiful backdrop of Wimberley’s natural landscape at their family ranch. He entrusted the planning to our team, with the goal of creating a party that would not only surprise Billie Jean but also leave a lasting impression on all who attended.

The venue, a picturesque white Sperry Tent surrounded by towering oak trees, winding creeks and sprawling views was the perfect setting for the celebration. With its rustic charm and natural beauty, it offered a serene yet lively environment that perfectly suited the event’s theme. 

The Design: A Kaleidoscope of Colors

To bring the surprise vision to life, we designed an event that was as bold and colorful as Billie Jean herself. The color palette was a vibrant palette featuring shades of fuchsia, pink, orange, and yellow, creating a lively and inviting atmosphere that immediately caught the eye.

Guests were welcomed by a stunning entrance, featuring 75-foot hot pink “Red Carpet” framed by an archway adorned with fresh flowers and party garlands. This dramatic entrance set the tone for the entire event, immersing guests in a world of color and joy as soon as they arrived. The tables were dressed in colorful linens, each adorned with unique centerpieces of various colorful blooms arranged in mismatched, hand-blown colored glass vases. The mix of textures and colors added a whimsical yet elegant touch to the rustic outdoor setting.

Featured seating included two identically set 18-foot mirrored tables adorned by a meadow of fresh florals and river rocks, a play on the serene creeks that run through their property. Seating was comfortable, as guests enjoyed their cozy Crescent chairs, thanks to Whim Hospitality. Additional seating design included four Syrah Curved couches (Party at the Moontower), used as banquette seating, placed in a unique configuration. This arrangement featured the crown jewel, a custom driftwood sculpture elevated centrally and drip elegant couches and rugs, offering cozy spots for guests to relax and enjoy the surroundings. As night fell, string lights and colorful up lights cast a warm, magical glow over the entire space, making the atmosphere even more enchanting and celebratory. 

The Culinary Experience: A Feast from Perini Ranch

Food was a central focus of Billie Jean’s birthday celebration, and we partnered with Perini Ranch in Buffalo Gap to ensure the culinary experience was nothing short of extraordinary. Known for their expertise in “real Texas food,” Perini Ranch delivered a menu that was both delicious and visually stunning.

The menu featured a selection of Billie Jean’s favorite dishes, reimagined with a gourmet twist. Guests indulged in everything from Salmon crisps and Jalapeño bites to a colorful array of fresh salads and vegetable dishes. A standout feature of the buffet, beside the peppered beef tenderloin, was the freshly fried-to-order catfish which paired beautifully with a variety of sauces, sides, and toppings, allowing guests to create their perfect plate.

For dessert, we opted for mini cheesecakes, which proved to be a huge hit. Guests could choose from various flavors including strawberry, chocolate and classic vanilla. The centerpiece of the dessert spread was a towering birthday cake—a masterpiece featuring three levels of rainbow-colored sponge cake, decorated with hand painted flowers, that perfectly captured the vibrant spirit of the event. 

The Logistics: Overcoming Challenges with Precision

Planning an event of this scale is never without its challenges, and Billie Jean’s 40th birthday was no exception. The load-in and site build took five days of intense logistical coordination, as we transformed the outdoor blank space into a vibrant custom party venue. Our team, alongside our trusted partners, worked tirelessly to ensure every detail was perfect. 

Whim Hospitality and Sunbelt Rentals visited the site countless times in preparation for this event to ensure we’d engineered the tent flooring pad properly, accounted for all climate control and power needs. Texas Disposal Systems managed the luxury bathroom trailer which featured 4 stalls and air conditioning, something most don’t expect when they hear a party is about to be held in the middle of a field. Waste removal and vendor facilities were also accounted for, providing a temporary “Back of House” space for our catering staging space, and porter services. 

On the day of the event, we faced unforeseen climate control and weather changes that threatened to disrupt the celebration. However, with the help of our dedicated planning team and our partners at Whim Hospitality, who provided the tenting and flooring, we were able to adapt quickly and keep the event on track. The result was a seamless experience for the guests, who remained blissfully unaware of the behind-the-scenes adjustments.

The Entertainment: Music and Dancing Under the Stars

Billie Jean’s husband wanted the entertainment to be just as lively and memorable as the rest of the event, so we arranged for fantastic live music that kept the energy high throughout the evening. Welcoming guests as they arrived, and into dinner, Austin’s own Katrina Cain showcased her incredible range through an array of genres. For the headline performer, we brought in a songwriting legend, Jeffrey Steele. His astonishing vocal performance was a hit, with guests of all ages hitting the dance floor and swaying in their seats as soon as the music started. His accolades are too long to list, but with five Grammy nominations and more number one hits than we can count, Jeffrey added a personal and intimate feeling, as if invited into the family’s living room for an evening of storytelling and song sharing. 

As the night progressed, the celebration evolved into an all-out dance party under the stars. To add a special touch, Jay surprised Billie Jean with one of her favorite bands, Austin’s very own, The Spazmatics! Their hilarious act and killer musical performances kept the party going well into the night.

For those looking for a break from the dance floor, we set up a late night snack station – chips and queso (of course!)—a perfect way to unwind after a night of dancing and celebration.

The Final Touches: Personalization and Local Partnerships

Every element of Billie Jean’s birthday party was carefully planned to reflect her personality and preferences. We worked closely with a number of local vendors to ensure the event was flawless. The floral arrangements, created by Exquisite Petals, were a key part of the vibrant decor, adding natural beauty to every corner of the venue. Their hand tied dip-dyed chandeliers framed the dance floor and added a pop of color at every level.

ATXLaser Designs, and owner William Hadley, provided custom laser cut products including orange acrylic stirrer sticks in the shape of a guitar featuring the evening’s motif: BJ. One of APEvents’ favorite items was the engraved fender guitar used as a guest book. The hand lettered invitations featured a geometric design that was carried through the event design, as large scale wall panels framing the stage. Guests were welcomed with a glass, embellished with their name laser-engraved on a birch wood disc and a colorful fabric tassel. 

Full Spectrum Ice came in clutch as always with the perfect drink adornment of our featured cocktail: and Old-Fashioned poured over a custom 2-inch ice cube laser engraved with the “BJ” motif seen throughout the event. 

Our partners at NextLevel Valet provided seamless valet services, ensuring guests arrived and departed with ease. The bar services were expertly handled by Peak Beverage, who crafted custom cocktails that perfectly complemented the Southern-inspired menu.

Rentals were provided by Whim and Party at the Moon Tower, adding to the eclectic and colorful design. We also included unique features like a custom hat bar by HAT Bar SA, where guests could create their own stylish headwear, and a glitter bar provided by Glitterati, adding a fun and festive touch that guests loved.

The event was beautifully captured by Adam Grumbo Films, who documented every detail with an artistic eye, ensuring that Billie Jean would have lasting memories of her surprise 40th birthday celebration.
